Clerk's office in South West Oxford working quickly to correct error on mail-in ballots.
SOUTH-WEST OXFORD -- If you're an English Separate School Board supporter in South West Oxford, you can expect a telephone call from the Clerk's office.
That comes after an error on the mail in election ballot was discovered asking for two picks for trustee instead of just one.
CAO and Clerk Mary Ellen Greb says in the vote by mail system, voters send in a sealed ballot as well as a declaration form that they have signed so staff is now scanning the declaration forms to see what school support they are.
"If they are separate school supporters, we are holding the sealed ballot and the declaration and we are contacting the individuals to ask them if they would like to have a new ballot that can be filled in according to the rules where as only one candidate for English Separate School can be selected."
Greb says the issue was brought to their attention Tuesday.
"Prior to that we had opened about 331 envelopes with declarations in them so we weren't aware of the problem at that time so they were processed normally where they would be scanned in to take the person's name off the voters list and then the sealed ballot would go into the ballot box."
Greb says staff went through the declaration and found there were 17 ballots in the box with no way of knowing who the ballots belonged to.
She says this should not impact the votes for the other municipal positions.
Greb says she takes full responsibility for the error .
"We're going to be looking at some type of a process to avoid this happening again but our main focus today and up to voting day is to ensure the ballots are processed properly and people have an opportunity to vote in the election."
